With the changes to the Campus Master Plan, we realized that the Campus Services Building needed to be added into the Campus Wide IT and EMS projects. GSE would like Campus Services to be issued for bid with the rest of the Buildings. Therefore, we are in the process of designing the IT and EMS for the Campus Services Building and, as soon as we can get that design through DSA (hopefully over the counter approval), we will finalize the bid package and get it out. I will keep you all posted with our progress.

 

 

 

I had Trent hold on getting the IP Phone System bid out because it needs the new communications cable to be implemented in order for it to work properly Campus Wide. Therefore, once we have the IT project out to bid, we will immediately work to get the IP Tel out to bid on its heels. From there we will coordinate installation with the selected vendors.

Maury and Hanh,

 

 

 

As you’re aware (I hope) the IPT project has been put on hold due to the addition of the Admin Services building to the structured cabling project. This late addition caused the approval process to be delayed. Once the SCCS (Structured Communications Cable System) project is underway again, the LAN equipment upgrade project will follow, and then finally the IP Telephony project will start back up. I’m not sure of the new timeline for the SCCS project, but hopefully Bruce Muir can update us on the expected due dates so we can readjust our project schedule. Bruce, once you have an update will you please revert back to all of us?

 

 

 

The IPT RFP is finalized, except for the schedule section which will need to be updated, and ready for release to the public bid. I’ve attached the latest version. Because the timeline is still unknown, we think its best to wait to release the RFP since there’s a possibility that the vendors responses could change if there is a few months delay. Pricing, software release levels, new applications are always changing and in order to capture the most current proposals from the bidders we feel it is best to wait until we have a firm schedule.

 

 

 

I hope this makes sense to you both as well. I don’t know why the Admin Services building was a late addition, that’s a GSE question, but since our project is the “3rd domino” behind the SCCS project and the LAN upgrade project we don’t have much choice in the matter.

 

 

 

I want to assure you that the IPT project is still alive and well (although delayed) and we will pick back up as soon as possible. You still are getting a new phone system.

Hello Hanh,

 

We have completed the IP Telephony Request for Proposal draft and would like to schedule some time with you and anyone else that might be interested to review before final submission. During the review session there are a few final items that we need to collaborate on.

 

 

 

1. We would need to fine tune the breakdown of the models of phones we want to purchase. For example, of the initial 450 phones, how many basic model phones (no speakerphone), how many standard phones, advanced and admin types phones. This allocation decision can have a big impact on overall cost, as generally costs for the phones make up about half of the overall cost.

 

2. Since this is a public bid, we need to agree upon the minimum system requirements for several functional areas in the RFP. We already have what we think a baseline should be, we just need your validation.

 

3. Discuss the next steps for the RFP process.

 

 

 

I know that next week is a short week with the 4th holiday, but let us know when might be a good time for you and hopefully Karen and Maury.
